Start with a comfortable place to gather, then build the decorations around one photo area. These ideas will help you plan a baby shower at home or at a hired venue, with or without a gender reveal.

Choose a cream or white backdrop and one accent colour for the balloons, cake and small table details. If you are also revealing the baby's sex, keeping the styling neutral avoids giving away the surprise before the countdown.
Make one prop or illustration the focus instead of filling every surface. Show your supplier the exact reference image: a printed panel, a freestanding prop and a cake decoration are different items, with different sizes and costs.
Keep the meal and seating in a comfortable shaded area, with a separate backdrop for photos. At an outdoor venue, agree how panels and balloons will be secured and what happens if the weather changes. A reference photo does not establish that a setup will suit your site.
Measure the whole photo area, not just the width of the backdrop. Allow room for the stand, supports, balloons, props and people standing in front. Keep a clear route around it so guests do not have to walk through the photo to reach food, seating or the bathroom.
Check where the sun and venue lights will be during the event. Send the supplier a photograph of the proposed position and ask whether the display needs to move. Confirm whether personalised wording is included, who approves the spelling and what happens to the sign after collection.

A small garland across one corner is a different job from balloons covering both sides of a backdrop. Send a reference image and mark which parts you want reproduced. Ask about the garland's approximate coverage, attachment method, any special balloons and whether the supplier removes it afterwards.
